Known-item retrieval test ========================= StatMedAnalysis | Downloadable worksheet | 5 November 2026 Trace why a search misses a previously identified relevant report, one search block at a time. Working instructions Choose independently identified, clearly eligible reports before tuning the search. Check each report is indexed in the database on the test date. Run the complete query, then test the identifier against each concept block. Save the interpreted query and compare the first block that loses the report. Working record Save a local copy. Use public, hypothetical or aggregate information. Project code ____________________ Prepared on ____________________ Review question and test date ___________________________________________________________________ Sentinel report ID and independent source ___________________________________________________________________ Why the report meets eligibility ___________________________________________________________________ Database, indexing date and identifier confirmation ___________________________________________________________________ Search version, concept block and matching terms ___________________________________________________________________ First block that loses the report ___________________________________________________________________ Candidate revision and unrelated hits sampled ___________________________________________________________________ Repeat result and remaining gaps ___________________________________________________________________ Hypothetical worked case A hypothetical indexed report uses “home visits” only in its abstract. Its ID appears with the population block but vanishes when the intervention block restricts a synonym to titles. Test the broader field on all sentinels and inspect the additional yield. Decision and follow-up Document whether each miss reflects indexing, terminology, a field restriction or an eligibility mismatch. Hold the search for revision when an eligible indexed sentinel is lost for an unexplained reason. Passing the test establishes retrieval only for those sentinels.
